How QR Menu Ordering Works: Running Tab, Table Sessions and the Kitchen Printer

A guest can add dish after dish from the QR menu without ever paying online. We explain how payment-free ordering, the running tab and the waiter app fit together — and where each order prints.

A guest sits down, scans the QR on the table and starts adding dishes — a starter, a main, a coffee later — without ever being asked for a card number. Each of those orders lands on the same table tab, and each ticket prints where it belongs: food to the kitchen, drinks to the bar. This is what payment-free QR menu ordering looks like in a hotel. In this guide we explain how a guest orders without any payment integration, how the running tab keeps a table together, how staff take orders tableside with the waiter app, and where each order ends up printed.

What is payment-free ordering?

In many hotels the guest never pays at the table. In an all-inclusive resort the food is already covered; in a hotel restaurant the bill is often settled at reception or added to the room. So a payment step inside the menu would only get in the way. Payment-free ordering removes it. The guest browses the image-rich, multilingual menu, taps the items they want and confirms — the order goes straight to the kitchen or bar. No online payment, no card details, no third-party checkout. Payment stays where your operation already handles it.

The running tab and table sessions

Behind every table is a table session: the open period during which a table is being served. Every order placed at that table — whether the guest sent it themselves or a waiter entered it — joins one running tab. Instead of scattered, unrelated orders, you get a single, growing list for the table.

This matters over a long, relaxed meal. The guest can order a starter now and a dessert later in the meal, and both sit on the same tab. Staff see, at a glance, everything that table has ordered so far. When the meal ends, the session closes and the table is ready for the next guests.

Two service modes: guest self-order or waiter-only

Not every venue wants guests sending orders directly to the kitchen. A relaxed pool bar and a fine-dining restaurant call for different rhythms, so each venue can run in one of two service modes:

  • Guest self-order: the guest places orders themselves from the QR menu. Well suited to busy, casual settings — a snack bar, a poolside terrace, a lounge.
  • Waiter-only: guests browse the menu freely, but only a staff member can send an order. This keeps control at the table where a personal touch matters.

Because the choice is made per venue, the same hotel can let guests self-order at the pool while keeping the à-la-carte restaurant waiter-served — all from one menu system.

The waiter app: taking orders at the table

For waiter-served venues, Avdena includes a waiter app that opens in the browser as a PWA — no store download, no separate device to buy. A staff member signs in on their own phone and sees a tables screen showing the venue's tables. They pick a table, add the guest's choices from the same menu the guest sees, and send the order. The items join that table's running tab immediately, exactly as a guest-placed order would.

Because it lives on the phone already in the waiter's pocket, tableside ordering needs no extra hardware and no lengthy training. The waiter takes the order where the guest is sitting, not on a walk back to a fixed terminal.

Where the order prints: three ways

An order is only useful if it reaches the people preparing it. Avdena can send tickets to your kitchen and bar printers in three ways, so you can match whatever hardware you already have:

  • Bridge: a small Raspberry Pi device on site receives orders and drives your printers locally.
  • Forwarding: orders are forwarded on to another printing destination you run.
  • Cloud: tickets are sent to internet-connected ESC/POS thermal printers directly.

However they travel, the tickets are printed for the station that needs them — food to the kitchen, drinks to the bar — thanks to station routing. Tickets can print bilingually, so the line cook reads the item clearly even when the guest ordered in another language. A separate dessert order doesn't interrupt the grill; it goes to the right place on its own slip.
